Render Media Inc. (“we,” “our,” or “us”) is committed to protecting the privacy of every individual whose personal information we collect or manage. This Privacy Policy explains how we collect, use, store, and disclose personal information, and describes the tools and third-party services active on our website, rendermediainc.com. We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and any other applicable Canadian privacy legislation.

By using our website, you acknowledge the practices described in this policy.

1. What Information We Collect

1.1 Information You Provide

We may collect personal information you voluntarily submit, including your first and last name, email address, phone number, and any details you provide in the message field of the contact form on our website. This information is used solely to respond to your inquiry or fulfill your request.

1.2 Information Collected Automatically

When you visit our website, the tools described in Section 3 automatically collect certain data, including:

  • Pages visited and time spent on each page
  • Browser type, device type, and operating system
  • Geographic location at the city or region level
  • The referring website or search query that brought you to our site
  • Mouse movements, scroll behaviour, and click patterns (session recording)
  • How you interact with our ads and whether your visit led to an action such as submitting a form or clicking a phone number
  • Search queries used to find our website via Google Search

This automatically collected data is generally aggregated or pseudonymous and is used to understand and improve website performance and the effectiveness of our advertising. We do not attempt to identify individual visitors from this analytics data.

2. Cookies and Tracking Technologies

Our website uses cookies — small text files stored on your device — to enable analytics, measure advertising performance, support session recording, and enable related features. Cookies help us understand how visitors interact with our site and how people arrive from our marketing campaigns so we can improve the experience for current and prospective clients.

Our tools use first- and third-party cookies. Some of these cookies support advertising and remarketing, which may allow our ads to be shown to you on other websites and platforms after you visit our site (see Section 3.2). You may disable cookies in your browser settings; however, doing so may affect certain website features. You can also manage advertising personalization through the Google Ads Settings and opt-out resources linked in Section 3.

3. Third-Party Tools

We use the following third-party tools to understand how our website is used and to measure and manage our advertising. Each tool processes data under its own privacy terms, linked below. These tools receive behavioural and campaign data — they do not receive the contents of your contact form submissions such as your name, email, or phone number. All form input fields on our website are masked, meaning their contents are never captured by our session-recording tools.

3.1 Google Analytics 4 (GA4)

We use Google Analytics 4 (GA4) to collect aggregated, pseudonymized data about website traffic and engagement, including pages viewed, session duration, device and browser type, geographic location at the city or region level, and key actions such as form submissions, phone-number clicks, and email-link clicks. This data is used to understand how visitors use our website and to guide improvements.

GA4 uses cookies to distinguish users and sessions. IP addresses are not stored by GA4. Data is processed by Google LLC under Google’s data processing terms. For more information, visit Google’s Privacy & Terms.

3.2 Google Ads

We use Google Ads to promote our services through paid search and display advertising and to measure how effective those campaigns are. Google Ads uses cookies and similar technologies to record when a visit to our website results in a conversion — such as submitting a contact form or clicking a phone number — and to support remarketing, which may display our ads to you on other websites and apps in the Google network after you have visited our site.

This conversion and advertising data is processed by Google LLC and does not include your name or contact details. You can control how ads are personalized to you, and opt out of personalized advertising, through Google Ads Settings. For more information, visit Google’s Privacy & Terms.

3.3 Google Search Console

We use Google Search Console to monitor how our website appears in Google Search results. Search Console provides aggregated data about search queries that led users to our site, page visibility in search results, and technical website health. This data does not include personally identifiable information — it is aggregate, query-level data only.

For more information, visit Google’s Privacy & Terms.

3.4 Microsoft Clarity

We partner with Microsoft Clarity to capture how visitors use and interact with our website through behavioural metrics, heatmaps, and session replay. Clarity collects data including pages viewed, scroll depth, click patterns, and engagement signals such as rage clicks and dead clicks. This information helps us identify usability issues and improve our website.

Clarity uses first- and third-party cookies to collect session data. All form input fields on our website are masked, meaning their contents are never captured by Clarity. This data is processed by Microsoft and is subject to the Microsoft Privacy Statement. By using our website, you agree that we and Microsoft may collect and use data through Microsoft Clarity as described above.

4. How We Use Personal Information

We use the information we collect for the following purposes:

  • To respond to inquiries, project requests, and communications
  • To improve the usability, content, and performance of our website
  • To understand how clients and prospective clients find and use our website
  • To measure, manage, and improve the effectiveness of our marketing and advertising campaigns
  • To comply with applicable laws and our professional obligations

We do not sell, rent, or trade personal information to third parties for marketing purposes.

5. Privacy Principles (PIPEDA)

Accountability

Render Media Inc. is responsible for the personal information under its control and has designated a Privacy Officer (see Section 6) who is accountable for our compliance with these principles.

Collection

We collect personal information only for purposes a reasonable person would consider appropriate, and only to the extent necessary to fulfill those purposes.

Consent

We obtain consent for the collection, use, and disclosure of personal information, except where otherwise permitted or required by law. By submitting information through our website and continuing to use it, you consent to the practices described in this policy.

Accuracy

We make reasonable efforts to ensure that personal information we hold is accurate and complete. Individuals may request corrections to their information in writing.

Storage and Safeguards

Personal information is stored using secure electronic and, where applicable, physical means to prevent unauthorized access, disclosure, or misuse. Some of our service providers (including Google and Microsoft) may store and process data on servers located outside Canada, including in the United States, where it may be subject to the laws of those jurisdictions.

Retention

We retain personal information only as long as necessary to fulfill the purposes for which it was collected, or as required by applicable law.

Disclosure

We do not disclose personal information to employees or third parties unless necessary for the purposes stated in this policy, required by law, or authorized by the individual. The third-party tools described in Section 3 receive aggregated or pseudonymous behavioural and advertising data only — they do not receive your name or contact information.

Access

Individuals have the right to access personal information we hold about them. Requests should be made in writing to our Privacy Officer (see Section 6). Access may be subject to applicable exemptions under PIPEDA.
